How Good IT Minimizes The Financial Impact Of Employee Churn

How good IT minimizes the financial impact of employee churn

IT ImpactSmall Business owners are always looking for ways to reduce computing costs and improve efficiencies.  In today's world, technology always needs to be functioning and always needs to be available in order for the business to operate. When business' increase their efficiencies, they grow and show maturity. As outsourcing and automation processes are incorporated into the business it delivers comfort and security to customers while concurrently implementing structure for employees.  Structure enables  employees  to  deliver that personal touch to make your business look even better.  Even though people come and people go the business must carry on.

Here are some simple tips on how to use IT to minimize the cost and impact of employee turnover:

  • Titled email address': Emails such as admin @yourcompany.com or info@yourcompany.com and billing@yourcompany.com enables your suppliers and customers to maintain the contact information in their address books so they can continue to contact you and send orders and requests to the same department. The use of auto responders to acknowledge emails in these boxes gives the email sender security that the business on the other end is alive and responsive. It does not matter if you only have 5 people or 25 people in your office. Generic department emails can be organized and assigned to designated people within the company.

  • Keep your server/cloud organized for security sake: It is difficult to locate relevant information when multiple versions of a file are stored in multiple locations or  when an administrator does not prune, delete or disable inactive users. When you have a shared server environment that is kept tidy, it is easy to manage users and keep the business efficient. Employees who leave can quickly be disabled from information and remote access. Shutting employees off right away eliminates security breaches, and unwanted communications from their work email.  Employees who arrive can quickly access information and office resources. They can print, email, scan etc, they are ready to get to work and this is important for hourly employees. Jobs that should only take minutes get expensive when they take hours.

  • Outsource your IT: Sometimes too many things are going wrong concurrently; someone needs to know how to  change the keyboard from Canadian French to  US English, while someone else needs a  file  retrieved from backups, and then all of a sudden remote workers are unable to establish a connection to the server/cloud and the new hire has to be set up. It can be quite demanding for one dedicated in house IT person to deal with  multiple concurrent issues for different people who are less than personable because they are irritated with the fact that they can not work.  Outsourcing IT is an attractive option for business' that do not have the in house expertise or have the time to manage the IT demands of their organization.  MSP's want to establish long term relationships with their customers and have multiple personnel ready, willing and able to deal with all of your IT issues.

As small business matures people are going to come and go.  Employee turnover impacts productivity and continuity and it's expensive by the time you add up separation costs, temp workers, advertising and training.

The benefits of keeping your IT simple on the front end while having a processes to keep your current infrastructure secure and reliable minimizes the financial impact that is inevitable when there is employee churn.  Good IT increases the efficiency process of the business.  No business likes losing people or having to continuously retrain for the same position  but hiring, firing and people quitting happens.

Since staff changes are inescapable, it is beneficial to take advantage of your current IT to minimize the financial impact.
